No interruptions. What goes here: Client deliverables, writing, design, strategy, any work requiring sustained focus Rules: No email. No Slack. No phone. Start with your most important project. Why morning: Cognitive energy is highest before decision fatigue sets in. MIDDAY BLOCK — Client Calls & Collaboration (12:00pm–2:00pm) Purpose: All scheduled calls happen here. Never before 10am, never after 3pm. What goes here: Client calls, prospect calls, team check-ins Rules: Batch all calls into this window. Protect the morning. Why midday: Calls interrupt deep work. Contain them so they can't spread. AFTERNOON BLOCK — Admin & Async (2:00pm–5:00pm) Purpose: Lower-focus operational work. What goes here: Email, Slack, invoicing, project management updates, proposals, business development, light research Rules: Answer email in batches — once at 2pm and once at 4pm. Not constantly. Why afternoon: You've already done your best work. Use remaining energy for process. EOD SHUTDOWN RITUAL (5:00pm — 15 minutes) Purpose: A hard stop that signals "work is done." Steps: 1. Review tomorrow's schedule and set your top 3 priorities (2 min) 2. Clear your browser tabs and close project files (2 min) 3. Write one sentence about what you completed today (1 min) 4. Close your laptop. You are done. The shutdown ritual exists to signal your brain that work has ended. BUSINESS DEVELOPMENT Target: 3–5 hours/week What counts: Proposals, networking, marketing, outreach, sales calls Red flag: Zero hours = pipeline drying up in 60–90 days 3. LEARNING & SKILL DEVELOPMENT Target: 1–3 hours/week What counts: Courses, reading, practice, community participation Red flag: Zero — your value to clients stagnates without it 4. RECOVERY & NON-WORK Target: Minimum 2 full days/week with no work What counts: Time when you are genuinely not working or thinking about work Red flag: You can't remember the last time you had a day like this ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ THE WEEKLY REVIEW RITUAL (Every Friday, 15 min) ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ Do this every Friday before you close out for the weekend. It takes 15 minutes and prevents Monday from being chaos. Step 1 — Review the week (5 min) What did I actually complete this week? What didn't get done and why? Any client feedback or issues to address? Step 2 — Look ahead (5 min) What are my 3 most important deliverables next week? Any client calls scheduled? Confirm them. Any deadlines in the next 10 days? Step 3 — Flag conflicts (3 min) Is next week overloaded? (More than 35 hrs of committed work = problem) If yes: What can move, be delegated, or be declined before Monday? Am I traveling or unavailable any day next week? Clients notified? Step 4 — Close (2 min) Write your top 3 priorities for Monday morning. Close your tabs.
