Three rules: 1. Protect your best hours for your best work (usually morning) 2. Batch similar tasks to minimize context switching 3. Leave buffer time — your blocks will occasionally run over THE THREE BLOCK TYPES --------------------- DEEP WORK BLOCKS (2–4 hours) Use for: Client deliverables, creative work, focused execution Protect from: Calls, email, admin, interruptions When: Your highest-energy hours (typically 8am–12pm) Signs a block is working: You look up and an hour has passed SHALLOW WORK BLOCKS (30–60 min) Use for: Email, invoices, scheduling, proposals, quick admin Batch strategy: Do all email in one window, not scattered through the day When: After lunch, late afternoon, or any lower-energy slot GROWTH BLOCKS (1–2 hours) Use for: Marketing, content, new proposals, skill building, SEO Why it matters: Shallow + Deep work fills the present; Growth blocks fill the future. Without them, your pipeline runs dry. Most people: High energy: 8am–12pm Medium energy: 2pm–4pm Low energy: 12–2pm, after 4pm Work your deep work into your HIGH energy windows. STEP 2: Identify your client work hours How many hours/week do you currently bill? Example: 20 billable hours/week = 4 blocks of Deep Work (Mon–Thu) Leave the remaining blocks for Shallow + Growth work. STEP 3: Protect at least one Growth block per week Most freelancers have zero Growth blocks — all their time goes to delivery and admin. This is why pipelines dry up. Minimum: 3 hours/week on business-building activities. STEP 4: Block your calls into windows Instead of calls whenever clients ask, designate windows: Example: Tue/Thu 10–12am, or Mon/Wed 2–3pm Share these windows with clients as your "availability." A: "My availability for calls is [Tue/Thu 10–12]. I have [date/time] open — does that work?" Most clients will adapt. The ones who won't are usually the clients you'll want to replace anyway. Q: What if I have too much client work to fit Deep Work blocks? A: This is a pricing or capacity problem, not a scheduling problem. If you're fully booked at your current rates, raise your rates or add a waitlist. You cannot grow the business while doing 100% delivery, 100% of the time. Q: How long until a time blocking schedule feels natural? A: Three weeks. The first week feels forced. The second week you see why it works. The third week you can't imagine working any other way.
