FREELANCE TAX DEDUCTIONS LIST ============================== A categorized guide to common deductions for self-employed freelancers. HOME OFFICE ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ Rules: The space must be used REGULARLY and EXCLUSIVELY for business. A corner of your living room doesn't qualify. A dedicated room or clearly defined workspace does. SIMPLIFIED METHOD (most freelancers use this): $5 per square foot × up to 300 sq ft = maximum deduction of $1,500/year REGULAR METHOD: (Office sq ft ÷ Total home sq ft) × annual home expenses Home expenses include: rent, mortgage interest, property taxes, utilities, repairs, insurance, depreciation Example: 150 sq ft office ÷ 1,200 sq ft total home = 12.5% × $24,000 in annual home costs = $3,000 deduction Choose the method that gives you the larger deduction. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 2. EQUIPMENT & TECHNOLOGY ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ Fully deductible for business-use portion: □ Computer, laptop, desktop □ External monitors □ Keyboard, mouse, trackpad □ External hard drives, SSDs, flash drives □ Cameras and lenses (photographers/videographers) □ Microphones, audio interfaces, headphones □ Tablets and styluses □ Printers, scanners □ Standing desk, ergonomic chair (if home office qualifies) □ Webcam, ring light, tripod TIP — Section 179: Instead of depreciating equipment over several years, Section 179 lets you deduct the FULL COST in the year you purchased it. Much better for cash flow. Available for most business equipment. If you use equipment for both personal and business use, deduct only the business-use percentage. Example: laptop used 80% for work = deduct 80%. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 3. SOFTWARE & SUBSCRIPTIONS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ Any software you use for work is deductible: Design & Creative: □ Adobe Creative Cloud □ Figma, Sketch, Canva Pro □ Final Cut Pro, DaVinci Resolve □ Procreate, Affinity Suite Project Management & Productivity: □ Notion, Asana, Trello, Monday.com, ClickUp □ Slack, Zoom, Loom □ Google Workspace, Microsoft 365 Accounting & Finance: □ QuickBooks, FreshBooks, Wave □ HoneyBook, Bonsai, Dubsado □ Stripe, PayPal (transaction fees are also deductible) Development & Tech: □ GitHub, GitLab □ AWS, Google Cloud, Vercel, Netlify □ Domain registrations, web hosting □ VS Code extensions, JetBrains licenses Marketing & Business: □ Mailchimp, ConvertKit, Beehiiv □ Buffer, Hootsuite, Later □ SEMrush, Ahrefs, SurferSEO □ LinkedIn Premium IMPORTANT: Only deduct the business-use portion. A personal Netflix account is not deductible. A Vimeo Pro account for client work is. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 4. PHONE & INTERNET ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ □ Monthly cell phone bill — deduct business-use percentage □ Home internet bill — deduct business-use percentage □ Second phone line or business phone plan — 100% deductible □ Extra data plan or hotspot for travel — deductible for business travel How to calculate: Estimate what percentage of your usage is for business. If you use your phone 60% for work, deduct 60% of your monthly bill. Be consistent year over year and be reasonable — the IRS will scrutinize a 100% deduction for a phone that clearly has personal use. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 5. PROFESSIONAL DEVELOPMENT ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ □ Online courses (Coursera, Udemy, Skillshare, Domestika, LinkedIn Learning) □ Books, ebooks, audiobooks related to your field □ Industry conferences and events (registration fees) □ Workshops, bootcamps, masterminds □ Professional certifications and exams □ Podcasts or newsletters with a paid subscription (industry-specific) □ Trade magazine or journal subscriptions RULE: The education must maintain or improve skills required in your current work, OR be required to keep your current license or certification. You cannot deduct education to train for a new career. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 6. HEALTH INSURANCE PREMIUMS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ If you're self-employed and NOT eligible for coverage through an employer (your own or a spouse's), you can deduct 100% of health insurance premiums: □ Medical insurance premiums □ Dental insurance premiums □ Vision insurance premiums □ Premiums for your spouse and dependents This is an "above the line" deduction — it reduces your adjusted gross income directly on your 1040, even if you don't itemize deductions. IMPORTANT: You cannot deduct premiums for any month you were eligible for employer-sponsored health insurance (including through a spouse's employer). ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 7. RETIREMENT CONTRIBUTIONS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ One of the most powerful tax shelters available to freelancers: SEP-IRA (Simplified Employee Pension): □ Contribute up to 25% of net self-employment income □ 2025 maximum: $70,000 □ Contributions are tax-deductible □ Easy to set up at any major brokerage (Fidelity, Vanguard, Schwab) □ Deadline: your tax filing deadline (April 15, or Oct 15 if you extend) Solo 401(k): □ Two contribution buckets: employee ($23,500 limit for 2025) + employer (25% of net income) □ Combined limit: $70,000 (or $77,500 if age 50+) □ Can also make Roth contributions □ More paperwork than SEP-IRA but higher potential contributions at lower income levels EXAMPLE IMPACT: $100,000 net income $25,000 SEP-IRA contribution = $25,000 less taxable income At 24% tax bracket = $6,000 in taxes saved + the compound growth ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 8. PROFESSIONAL SERVICES ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ □ Accountant or CPA fees □ Tax preparation fees (for business-related portions) □ Attorney or legal fees for business matters □ Business coach or consultant fees □ Virtual assistant services □ Subcontractors and freelancers you hire □ Bookkeeper fees ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 9. TRAVEL (BUSINESS ONLY) ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ Mileage (driving): □ 2025 IRS standard mileage rate: 70 cents per mile □ Log each trip: date, destination, business purpose, miles driven □ Use a mileage app: MileIQ, Everlance, Stride NOTE: Commuting to a regular office (even a coworking space you use daily) is NOT deductible. Driving to a client's office or a specific business errand IS deductible. Business travel (overnight trips): □ Airfare, train, bus tickets □ Hotel and lodging □ Rental car and gas □ Rideshare and taxi fares (Uber, Lyft) □ 50% of meals during business travel □ Conference registration fees □ Parking and tolls IMPORTANT: The primary purpose of the trip must be business. If you add a few vacation days to a business trip, you can still deduct the full transportation cost, but only the business-day hotels and 50% of meals. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 10.
