━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ UPWORK PROPOSAL TEMPLATE Fill-in-the-blank framework for proposals that get responses SoloStack — solostack.madethis.app ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ Target length: 75–125 words. Under 150 words. Never copy-paste. Fill in all [BRACKETS] before sending. Delete instructions in italics. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ THE FRAMEWORK ───────────────────────────────────────────────────────────── PART 1: THE 3-SENTENCE HOOK ───────────────────────────────────────────────────────────── Sentence 1 — Show you read the post (not just the title) "I saw you're looking for [EXACT THING FROM THEIR POST — be specific]." NOTE: Quote or closely paraphrase something from their post body, not the title. This proves you read it. Sentence 2 — Call out the specific problem they're facing "The challenge I see [TYPE OF CLIENT] run into at this stage is usually [REAL PROBLEM BEHIND THEIR REQUEST]." NOTE: This line shows you understand their actual problem, not just the surface task. It's the line that gets you shortlisted. Sentence 3 — State your relevant result "I've helped [TYPE OF SIMILAR CLIENT] with this and got [SPECIFIC RESULT]." EXAMPLE: "I've helped 3 early-stage SaaS teams build their first email sequence, and one of them hit a 34% open rate in month one." ───────────────────────────────────────────────────────────── PART 2: PROOF POINTS (2–3 BULLETS) ───────────────────────────────────────────────────────────── Format: [METRIC] → [what you did] → [outcome] • [METRIC — e.g., "34% open rate"] from [WHAT YOU DID — e.g., "a 5-email welcome sequence"] for [CLIENT TYPE — e.g., "a B2B SaaS startup"] • [METRIC] from [WHAT YOU DID] for [CLIENT TYPE] • (Optional) [METRIC] from [WHAT YOU DID] for [CLIENT TYPE] NOTE: If you have no Upwork reviews yet, use results from previous jobs, side projects, or work you did for free. One real result beats zero results every time. ───────────────────────────────────────────────────────────── PART 3: THE ONE SMART QUESTION ───────────────────────────────────────────────────────────── Ask ONE question that shows you understand the deeper problem: "Quick question before I put together a more detailed approach: [YOUR SMART QUESTION]?" EXAMPLE SMART QUESTIONS BY NICHE: • Copywriter: "Is the goal to warm up cold traffic or convert existing leads who already know the brand?" • Web designer: "Is the bottleneck traffic or conversion — are people landing on the page but not taking action?" • Email marketer: "Is your main list cold/dormant, or are you trying to improve engagement on an active list?" • VA / Ops: "Are the systems mostly built and you need execution, or are we starting from scratch?" WHY THIS WORKS: It signals you understand the nuance of what they actually need — not just the surface task. Clients shortlist freelancers who ask smart questions. ───────────────────────────────────────────────────────────── PART 4: CLOSING + AVAILABILITY ───────────────────────────────────────────────────────────── "I'm available to start [TIMEFRAME — e.g., 'this week' / 'Monday']. Happy to share more details or jump on a quick call." NOTE: End on a soft invitation — not "please hire me" and not "let me know your thoughts" (too passive). A simple statement of availability + willingness to discuss is enough. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ FULL TEMPLATE (COPY AND FILL IN) ───────────────────────────────────────────────────────────── I saw you're looking for [EXACT THING FROM THEIR POST]. The challenge most [TYPE OF CLIENT] face at this stage is [REAL PROBLEM BEHIND THEIR REQUEST] — and that's usually what makes or breaks the result. I've helped [TYPE OF CLIENT] with this: • [METRIC] from [WHAT YOU DID] for [CLIENT TYPE] • [METRIC] from [WHAT YOU DID] for [CLIENT TYPE] Quick question before I put together a more detailed approach: [YOUR SMART QUESTION]? I'm available to start [TIMEFRAME]. Happy to share more or jump on a quick call. — [YOUR NAME] ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ EXAMPLE PROPOSAL #1: COPYWRITER (118 words) ───────────────────────────────────────────────────────────── I saw you're looking for someone to rewrite your SaaS onboarding email sequence to reduce churn in the first 14 days. The real issue at that stage is usually that emails teach features instead of moving people toward the "aha moment" — and that's a positioning problem, not a writing problem. I've helped 3 SaaS teams rebuild their onboarding sequences: • 34% open rate + 8% CTR from a 5-email welcome series for a project management tool (previously at 14% open / 2% CTR) • Reduced 30-day churn from 22% to 14% for an e-learning platform Quick question: what's the one action you most want new users to take in their first week? I'm available to start Monday. Happy to share the full case study. — [YOUR NAME] ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ EXAMPLE PROPOSAL #2: WEB DESIGNER (107 words) ───────────────────────────────────────────────────────────── I saw you need a landing page redesign for your coaching program launch. Most coaching landing pages lose conversions not because of design, but because the value proposition is buried below the fold — visitors leave before they hit the proof. Recent results: • 3.1% conversion rate (up from 0.9%) for a business coach after restructuring the page hierarchy and rewriting the hero section • $40k in launch revenue for a course creator's first sales page Quick question: do you have existing copy you want to keep, or is copy part of the scope too? Available this week. Happy to share the full portfolio. — [YOUR NAME] ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ WHAT NOT TO SAY ───────────────────────────────────────────────────────────── ❌ "Dear Hiring Manager" — sounds like a job application, not a conversation. Start with what you noticed in THEIR post. ❌ Listing your life story — "I have 8 years of experience in marketing and previously worked at..." Nobody reads this. ❌ "I am the perfect candidate for this role" — unproven claim. Show, don't tell. ❌ Copy-pasted openers — "I have reviewed your job posting and believe I am an excellent fit..." Clients have seen this 40 times today. It signals that you send this to everyone. ❌ Vague claims without metrics — "I've helped many clients achieve great results" — this is meaningless. One specific number beats every vague claim. ❌ Asking for more information before addressing the job — "Could you tell me more about your goals?" — show some expertise first. ❌ Begging framing — "I would be honored to work with you..." — you're a professional, not a supplicant. Stay peer-level. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ THE FOLLOW-UP MESSAGE (if no reply in 3 days) ───────────────────────────────────────────────────────────── Send ONE follow-up. One sentence. No desperation. "Just wanted to make sure my proposal came through — still happy to chat if the timing works." RULES: • Send exactly 3 days after original proposal • One follow-up only — a second follow-up is spam • Do NOT ask "did you get my message?" (they did) • Do NOT explain why you're following up (they know) • Do NOT apologize for following up (you have nothing to apologize for) • If no reply to the follow-up: move on ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ Free resource from SoloStack — solostack.madethis.app Get 50+ freelance templates (proposals, contracts, onboarding, invoices) ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━
