These are your inner circle — invest accordingly. Action: Monthly coffee chat or project debrief. Always be the first to offer value or celebrate their wins. WARM (20–30 people) Who: Past clients, strong collaborators, people you've exchanged real value with Cadence: Monthly touchpoint. Could be as simple as commenting on their post, sharing something relevant, or a quick "thinking of you" email. Action: Aim for 1 genuine interaction per person per month. Put them on your "monthly review" list. COOL (50–100 people) Who: People you've met once, LinkedIn connections who engaged with you, community members you've interacted with Cadence: Quarterly touchpoint. Check in, comment on posts, share their content when relevant. Action: Use the annual relationship audit (below) to promote Cool to Warm when relationship depth increases. COLD (everyone else) Who: Connections you haven't spoken to in 6–12+ months, dormant contacts Cadence: Twice per year maximum. Re-engagement requires a genuine hook: something you read, a life event, a congratulations. Action: Don't force it. If there's no natural reason to re-engage, let it stay cold until one arises. ====================================================================== THE 15-MINUTE SUNDAY NETWORKING REVIEW ---------------------------------------- Schedule this every Sunday evening or Monday morning. Step 1 — Review new contacts (3 min) Look at who you connected with this week. Add them to your tracker. Assign warmth levels. Note what you talked about. Step 2 — Send 2 follow-ups (5 min) Pick 2 people from your WARM list who you haven't touched in 3+ weeks. Send a short, genuine message. Could be: - Sharing an article relevant to something they mentioned - Congratulating them on a win you saw - A genuine question about something they're working on - Checking in with no agenda Step 3 — Share one piece of value in a community (4 min) Pick one community you're a member of (Slack, Discord, Facebook, etc.). Share something genuinely useful. Answer a question. Start a conversation. Not promotional — just helpful. Step 4 — Comment on 3 posts (3 min) Find 3 posts from people in your network. Leave substantive comments (2+ sentences, adds something to the conversation). Not just "great post." Total: ~15 minutes. Done consistently for 6 months, this is the single habit that compounds fastest in a freelance business. ====================================================================== MONTHLY NETWORKING RITUALS ---------------------------- Do these once per month in addition to the weekly review. □ Schedule 1 coffee chat (virtual or in-person) with someone from your WARM or COOL list — ideally someone you haven't spoken to in 60+ days □ Make 1 introduction for someone else — connect two people in your network who would benefit from knowing each other. No agenda. □ Review your referral list — who has sent you work this year? Have you thanked them? Have you looked for ways to reciprocate? □ Update your tracker — add new contacts, update outcomes, adjust warmth levels based on recent interactions □ Look for 1 new community to participate in — try it for 30 days before deciding if it's worth maintaining ====================================================================== ANNUAL RELATIONSHIP AUDIT --------------------------- Do this once per year (January or your business anniversary month). PART 1: WHO TO RE-ENGAGE Review your COLD list. Flag anyone who: □ Was a good fit as a client but timing wasn't right □ Is now in a situation where your work is more relevant □ You parted ways with on good terms and haven't spoken to in 12+ months □ Was referred to you but didn't convert — do they know anyone who would? PART 2: WHO TO THANK Review your HOT and WARM lists. Ask: □ Who referred you work this year? Send a handwritten note or gift. □ Who gave you advice or made an introduction? Follow up on the outcome. □ Who championed your work publicly? Return the favor. PART 3: WHO TO REFER Review your WARM and COOL lists: □ Who do you know whose work you'd genuinely recommend? □ Who is actively looking for clients? Can you send someone their way? □ Are there two people in your network who should know each other? PART 4: WHO TO LET GO Not everyone needs to stay in your tracker. Remove contacts who: □ You've never actually spoken to beyond a LinkedIn connection □ Are in a niche or industry completely unrelated to your work □ You feel no genuine interest in maintaining a relationship with Note: A network of 50 people you genuinely know beats a list of 500 people you vaguely remember. PART 5: NETWORK QUALITY ASSESSMENT □ Do you have at least 5 active referral relationships? □ Do you have peers in your niche you can ask for advice? □ Do you have clients or collaborators in each major vertical you serve? □ Do you know at least 3 people who work in complementary services?
